Position Summary
The Administrative Assistant ensures smooth, efficient, and welcoming day-to-day operations at Erskine Free Church. This role manages essential office functions, supports staff and ministry leaders, coordinates building use, processes routine financial tasks, and maintains church databases and calendars. The Administrative Assistant helps create an organized, hospitable environment where staff, volunteers, and guests experience excellence in every interaction
Key Responsibilities
1. Office Management & Administrative Support:
- Answer phones, greet visitors, and respond to inquiries professionally.
- Distribute mail, prepare Sunday bulletin, maintain organized filing systems, and manage office supplies and equipment.
- Take care of printer maintenance, manage account passwords, and provide general administrative help to staff.
- Keep the front office and lobby welcoming, clean, and organized.
2. Financial Processing Assistance:

- Work with the bookkeeper on check deposits, petty cash, check requests, and credit card payments.
- Collect receipts, process benevolence payments, make sure vendors provide necessary paperwork, and help with end-of-month financial tasks.
- Keep accurate financial records, help prepare routine reports, and support deacons with financial needs.
3. Building Use & Facility Coordination:

- Schedule rooms and facilities for weddings, funerals, ministry events, and outside groups.
- Keep building security up to date by managing keys and alarm codes.
- Update building policies and procedures with input from Pastoral Staff.
- Coordinate the church calendar to ensure events and activities are well-organized.
4. HR & Staff Support:

- Manage the Church Child protection Policy.
- Keep staff records up to date and assist with HR paperwork and compliance tasks.
5. Database & Systems Management:

- Manage the church database (CCB) by updating profiles, fixing login issues, archiving outdated forms and groups, and keeping group participant information current.
- Create and update online forms, track weekly Sunday attendance, approve event and room requests.
6. Project & Event Support:
- Assist with planning and coordinating church events.
- Support ministry leaders by organizing details for special projects.
7. General Support & Communication:
- Provide administrative help to elders, deacons, and ministry leaders.
- Help communicate and coordinate with partner ministries, as needed.
Qualifications

- Previous experience in office administration or a similar role, preferably in a church or nonprofit setting.
- Excellent communication, organizational, and interpersonal skills.
- High level of integrity and ability to handle confidential information responsibly.
- Familiarity with office software and church management systems.
- Attention to detail and ability to manage multiple tasks on tight timelines.

Schedule & Expectations - Half-time position requiring availability during weekday office hours.
